Why GlassCount

Less paper on the desk, more value in your mandates.

Time back for your mandates

Your team stops doing data entry and gets back to advisory, audit and closings: the work your clients actually pay for.

Accuracy and traceability

Every document is digitised, archived and booked through one uniform process. No piles of paper, no missing receipts.

No more chasing

No more chasing clients by email and phone: document collection becomes our problem, not yours.

What we do

Three services, one outcome: accounts that are ready.

Document front office

We handle contact with your firm's clients: reminders, follow-ups and chasers — in the tone and language we agree on — until every document has been delivered.

Scanning and digitisation

We collect paper documents, scan them and turn them into tidy digital archives, legible and ready for bookkeeping. The originals come back to you.

Bookkeeping

We post every document in your accounting software, following your chart of accounts, with the accuracy and traceability a fiduciary mandate demands.

What we handle

Every document that flows through a set of accounts.

Whatever the client hands over — in a tidy folder or a shoebox — we turn it into complete accounting entries, each with its digital receipt attached.

Supplier and customer invoices

Purchases, sales, credit notes and payment reminders.

Bank statements

Current accounts, credit cards and foreign-currency accounts.

Cash receipts

Till receipts, slips and employee expense reports.

Payroll and social security

Salary statements, AHV/AVS, occupational pension (BVG/LPP), insurance and withholding tax.

VAT documents

Receipts and summaries ready for the quarterly VAT return.

Contracts and correspondence

Leasing, rents, insurance policies and recurring documents to archive.

How it works

The operating timeline of every mandate, in four steps.

  1. 01

    We take on the mandate

You introduce the client and together we define the list of documents to collect, the contact channels and the deadlines to meet.

  2. 02

    We collect the documents

We contact the client directly and follow up until everything has been delivered: invoices, bank statements, receipts.

  3. 03

    We scan and digitise

Every document is scanned, classified and archived digitally, ordered by period and category.

  4. 04

    We book in your software

We enter the data in your accounting software. You find the accounts ready for audit and closing.

Results

A typical mandate, in numbers.

The situation

A fiduciary with around forty mandates receives two years of never-delivered documents from a client: invoices, bank statements and receipts piled up in boxes, with the closings approaching.

What we did

We take over the collection: we pick up the documents, chase the missing ones ourselves, scan and classify everything, then post every entry in the firm's accounting software following its chart of accounts.

Indicative scenario, based on a backlog-recovery mandate of average complexity.

How we work together

Two engagement models, one standard of accuracy.

Whether it's a steady flow of documents or years of backlog to recover, the process is the same: collection, digitisation, bookkeeping.

Volume-based quote, no hidden costs — details in a first introductory call.

02
For situations to fix

Backlog recovery

A client handed over two years of documents in a box? We step in once: we sort, digitise and book the entire backlog within an agreed timeframe.

  • Engagement with an agreed start and end
  • Volume-based quote, no surprises
  • Delivery ready for audit
  • No ongoing commitment required

What we measure

Security and confidentiality

We treat your clients' documents the way you would.

Contractual confidentiality

Every collaboration starts with a confidentiality agreement covering the fiduciary and its clients.

In practice: NDA signed before any access to data.

Data processed in Switzerland

Documents and digital archives stay on Swiss infrastructure, never on foreign services that haven't been agreed.

In practice: Hosting and backups on Swiss infrastructure — no transfers outside the EEA without written agreement.

nFADP compliance

Processes aligned with the new Swiss Federal Act on Data Protection: data minimisation, defined purpose, right to erasure.

In practice: Record of processing kept for every mandate; we support data-subject requests.

Named, logged access

Every access to your accounting software is personal, limited to what's necessary and logged.

In practice: Audit log available on request.

Data handling

The life cycle of every document, under control.

From the moment a document reaches us until we hand it back, every step follows a defined procedure — verifiable at any time. Details are in the privacy policy.

  1. 01

    Receipt over secure channels

Digital documents arrive over encrypted channels; paper ones are picked up in person or via tracked courier. Never unprotected email attachments.

  2. 02

    Encrypted storage

Scans are encrypted at rest and stored on Swiss infrastructure, with regular backups and separation per mandate.

  3. 03

    Controlled access

Only the team assigned to your mandate accesses the data, with two-factor authentication and least-privilege permissions.

  4. 04

    Return and deletion

At the end of the mandate we return the originals and the digital archive, then delete the data from our systems under the agreed terms.

Let's talk
Do you work directly in our accounting software?+

Yes. We don't ask you to change tools: we access your system — Abacus, Bexio, WinBiz, Banana, Sage, Crésus or another — with dedicated, named accounts, via VPN where necessary, and with permissions limited to the agreed mandates only. We post entries following your chart of accounts and your booking rules.

How much does the service cost?+

Quotes are volume-based: depending on the number of mandates and documents we agree a rate per document, per mandate, or a monthly flat fee. No hidden fixed costs and no contractual minimum: the details are defined in the first introductory call.

Who stays in touch with our clients?+

We do, as your “document front office”: reminders and follow-ups in the tone, language and channels we agree together. The client knows collection is handled on behalf of the fiduciary: you remain the point of reference for advisory.

How do you handle paper documents?+

We pick them up in person or receive them via tracked courier, scan them and classify them. The originals are returned sorted by client and period, or archived as agreed with you.

What do we receive at the end of the process?+

The entries already posted in your accounting software and a digital archive ordered by client, period and category, with every entry linked to its receipt. On request, a monthly report on volumes processed, missing documents and reminders in progress.

How do we get started?+

With a 4–8 week pilot project on one or two mandates: together we define the process, measure time saved, documents recovered and errors, then extend to the rest of the portfolio with a gradual onboarding.
